Background
In the summer of 2007, we were approached by University
for the Creative Arts (UCA) to tailor Caseworker
Connect to meet the needs of their student advice and
advocacy services. The UCCA project lead for Caseworker
Connect Student Services Edition, Stephen McAuliffe, sits on
national board of the Student Services Organisation -
AMOSSHE - and suggested that there is a strong requirement
for this type of product in this sector. Hence,
Caseworker Connect Student Services Edition was born.
Currently, we are installing the software for UCA and Kent Union.
What does Caseworker Connect Student Services Edition
do?
Caseworker Connect Student Services Edition is designed to
benefit everyone involved in running and managing student
case work, advocacy and advice-giving services; from project
workers and advocates working with students on a day-to-day
basis to service managers responsible for managing teams,
evidencing quality and demonstrating best value against
benchmark targets.
Caseworker Connect Student Services Edition integrates
student data from your existing IT systems*
so you are ready to start recording and reporting. Quick
find features including bar code scanning of Student ID
cards make it easy to locate student records. See the
complete history for an individual student or review the
entire case list and advice records for all students.
Easy-to-use filters mean you can sort records by academic
year, status, start date, and more.

If
your advocacy service does not have access to existing
student data, you can add student information to Caseworker
Connect Student Services Edition manually using an easy-to-use data
entry form. The type of information you record about each
student can be customised.

Quick Advocacy

Quick Advocacy (QA) is the name used to
identify ad-hoc or short-term support and advice
delivered through drop-in advice centres or telephone
help lines

Maintain records for multiple services.
For example, if you operate a help line and a drop-in
advice centre, or a drop-in centre that addresses
different subjects on different days of the week, you
can set up records dedicated to each service

Capture key demographic information
about each student enquirer to monitor fair access and
diversity

Record information about the nature of
the student's query and log details of advice offered

Monitor the time spent on each query and
assign each query to a named staff member to keep track
of work activities

Print detailed reports for management
information
Electronic Library
Create an electronic library of resources for staff and
managers. The Library can store any type of electronic file
including text, pictures, music and even video. Every
Library file - Planning and Strategy documents, training
manuals, minutes, presentations, reports, and links to
useful websites - automatically opens in the default
application. To protect source material, the Library stores
a copy of the file, not the original so you can distribute
material safely and securely.
Reports
Choose from in-built reports to help you collect and
analyse the information you need quickly and effortlessly.
Whether you are a service manager compiling the monthly
management report or a case officer reviewing how you spent
your time in the last week, Caseworker Connect Student
Services Edition gives you instant access to a range of
service performance data. Produce statistics across
user-definable date ranges about case outcomes, referral
sources, time recorded against cases, and more. Caseworker
Connect Student Services Edition reports are displayed in
your favourite web browser and are easy to share via email
or the Electronic Library.
Office Integration
Caseworker Connect Student Services Edition integrates
with Microsoft Office so you can export raw data to
Microsoft Excel, and report data can be dragged and dropped
to quickly create tables and graphs.
Personalisation
Users can personalise settings in Caseworker Connect
Student Services Edition to deliver an even greater
experience. For example, rather than typing the same case
note content over and over again, staff can define a note as
a "phrase". Each phrase is saved by Caseworker Connect
Student Services Edition and can be inserted quickly and
easily using the "My Phrases" button. Using Phrases saves
lots of time and improves the quality of recorded
information.
Future enhancements
We are currently developing a series of additions,
including:

A module where you can record payments
and track budgets against grants/loans, for example,
Access to Learning.

A footfall monitor where you can record
and analyse the frequency of student visits to your
advice and advocacy services.

A Counselling module similar to Case
recording, but with greater security features: e.g.
student names are not revealed; clinical notes are not
recorded; and Counsellors can only see records that they
are managing directly.
